With over 35 years experience in Commercial & Residential Interior Design and Project Management in the Southern California area, Laura McCants has been the Principal of her own firm as well as Project Manager with many architectural firms. Move Planning

Move Coordination is critical to ensure the success of any office relocation by minimimizing downtime, maximumizing efficiency and promoting ease of transition.

SCOPE OF WORK

Orientation:

• Determine the guidelines for the move.
• Establish the responsibilities of Move Manager and Client
• Form an in-house Move Team consisting of Facilities, HR, Info Systems, Legal, Operations, Security, Marketing, etc.
• Meet with Move Team to obtain information critical to our role and the move process.

Pre-Move Planning

• Create preliminary action plan, schedule and budget for the move.
• Determine staff support for Move Team & establish “help” line and hold status meetings, as required.
• Inventory of fixtures and equipment and plans for their reuse.
• Develop existing furniture and equipment identification plans with the designer/furniture dealer.
• Pre-qualify movers & assist with bid review.
• Coordinate arrangements with building management.
• Update action plan, schedule and budget.
• Special equipment vendors are notified about the move; relocation requirements; coordinate the move and reinstallation of equipment.
• Educate employees on their roles in the move and procedures.
• Conduct tours of new facility to familiarize employees with their new offices, storage & supplies locations.
• Set up purging and recycling programs.
• Verify all packing and tagging with staff and the mover.
• Color coded move in plans, temporary workstation and directional signage for moving company.

On-Site Move Supervision:

• Punch list new facility with post coded floor plans, etc.
• Make sure items are ready to be moved as scheduled.
• Supervise movers at existing and new locations.
• Removal of items which will not be moved to the new location.
• Review work areas to insure correct itemplacement.
• Conduct walk through with the movers after the move.

Post-Move Coordination:

• Clean up of new facility after the move.
• Disposal of items and clean up of the vacated premises.
• Post move walk through to create a preliminary punch list.
• Review and prepare a final “punch list”, schedule and supervise completion.
• Verify all vendors and movers invoices.
